Dishwasher Not Cleaning - Diagnostic Tree
Symptom
Dishes come out dirty, gritty, or with food residue stuck on. This is one of the most subjective service calls in the trade because "dishwasher not cleaning" can mean an actual mechanical problem, a usage mistake, a water-quality issue, or a detergent change. The first ten minutes of the call are spent characterizing exactly what "not cleaning" means in the customer's vocabulary - then the diagnostic tree resolves quickly.
Likely causes
In approximate order of frequency in service:
- Spray arm holes clogged with food debris - 25 percent. The single most common fix
- Filter dirty or improperly seated - 20 percent. Modern dishwashers use a removable filter that owners often don't know about
- Hot water supply too cool - 12 percent. Dishwasher cleans poorly below 120 °F at the fill
- Detergent issues - 10 percent. Wrong type, too little, too much, expired, hard-water failure
- Loading mistakes - 10 percent. Overcrowding, blocking the spray arms
- Failed wash pump motor or impeller - 8 percent. Audible compared to a known-good machine
- Failed inlet valve (partial) - 5 percent. Not enough water reaching the wash chamber
- Hard-water mineral buildup inside the machine - 5 percent. Especially on units 3+ years old in untreated hard-water areas
- Failed circulation pump check valve - 3 percent. Dirty water gets re-circulated
- Failed heating element (electric, on units that heat the fill water) - 2 percent
Diagnostic steps
Step 1: Demonstrate the problem with the customer
- Have the customer load a typical load
- Run the normal cycle
- Inspect the result together - what specifically is "dirty" about the dishes?
This 30-minute investment saves a return trip. Different complaints have different fault trees:

Step 2: Pull and inspect the filter
- Open the machine, remove the lower rack
- Locate the filter assembly at the bottom rear - usually a twist-out cylinder over a coarse screen
- Inspect:
- Heavy food debris = customer education on filter maintenance
- Missing pieces = improper reassembly from prior service
- Cracks = replace
- Many customers do not know the filter exists or how to clean it. The fix often ends here.
Step 3: Check spray arm holes
- Lower spray arm spins on a center post - pop it off
- Upper spray arm clips onto the rack arm - pop off
- Run each spray arm's holes under running water and pick out any debris
- Common debris: toothpicks, fruit stickers, popcorn kernels, bone fragments
- Reassemble and verify free rotation
Step 4: Verify water temperature
- Run the kitchen hot water at the sink closest to the dishwasher
- Place a thermometer in the stream after 30 seconds
- Should reach at least 120 °F (manufacturers spec 120 °F minimum at the fill)
- Lower than 120 °F: customer needs to run hot water at the sink before starting the dishwasher OR raise the water heater setpoint (note safety concerns above 130 °F with scald risk)
- Verify the dishwasher is plumbed to hot, not cold - sometimes the contractor reversed the supply
Step 5: Verify detergent and rinse aid
- Check what detergent the customer is using
- Powder, gel, or pod - all work but in different doses
- Verify the detergent dispenser is not blocked, the door latch operates, and the dispenser opens during the wash cycle (visible after the cycle completes)
- Rinse aid reservoir - empty rinse aid is the leading cause of "spots on glassware" calls
- Hard water + cheap detergent + no rinse aid = guaranteed cleaning complaint
Step 6: Run a service test cycle
Most modern dishwashers have a diagnostic / test cycle accessed via a button sequence:
- Look up the test sequence for the specific brand and model
- The diagnostic cycle runs each phase (fill, wash, drain, rinse, heat) individually
- Identify which phase fails
- Refer to the manufacturer's fault-code chart for the displayed code
Step 7: Inspect the sump
- Pull the filter and inspect the sump basin
- Heavy biofilm or food debris = sump cleaning service
- Hard-water scale = descale with a citric-acid product
- Foreign objects in the sump (glass shards, bones) = remove, may have damaged the pump impeller
Step 8: Test the wash pump
- Listen during the wash phase
- Healthy pump: smooth steady hum
- Grinding or screeching = impeller damaged or pump bearing failed
- Silent = pump dead, control board not commanding pump, or wiring fault
- Open the pump access (typically requires partial machine teardown) to inspect the impeller - broken vanes from glass shards or fruit pits are common
Resolution
- Filter / spray arms clogged - clean, demonstrate maintenance to the customer, document
- Low water temperature - adjust the water heater (after explaining scald risk), or instruct customer to pre-run hot water
- Detergent issues - switch to a quality pod, verify dosing, replace rinse aid
- Hard-water scale - run a descale cycle with citric acid, recommend a water softener if the home doesn't have one
- Pump or impeller failure - replace pump assembly; quote labor honestly, this is 1-2 hour work
Prevention
- Rinse heavy food residue off dishes before loading (the modern "no pre-rinse" advice assumes the filter is clean and the machine is well-maintained - it's a fragile assumption)
- Monthly: pull the filter, rinse under hot water, return
- Quarterly: run an empty cycle with a dishwasher cleaner product
- Annually: descale if in hard-water area
- Replace rinse aid every 1-2 months
A surprising number of "my dishwasher stopped cleaning" calls are solved by the customer's water heater being too far away or too low. Show the customer the thermometer reading at the sink and the manufacturer's spec page in their manual side-by-side. They believe the data. The fix is either a longer pre-run at the sink or a water-heater thermostat adjustment - both of which leave them happier than a billable service visit that found "nothing wrong."
