Customer Claims Cleaning Products Damaged a Houseplant: Product vs. Pre-Existing Decision Tree
Why this matters
Plant damage claims after a cleaning visit create liability exposure even when the service was performed correctly. The difficulty is that plant stress from chemical contact and plant stress from pre-existing conditions can look nearly identical a day or two after service. A structured evaluation approach - based on symptom pattern, exposure likelihood, and symptom timeline - lets you assess the claim objectively and respond with documented reasoning rather than guesswork or a reflexive concession.
Step 1: Assess exposure likelihood
Before evaluating the plant itself, determine whether meaningful chemical exposure was possible.
Was the plant near a cleaned surface? A plant sitting on a countertop, window sill, or shelf directly adjacent to a scrubbed tile backsplash or cleaned glass surface has realistic overspray exposure. A plant across the room or in a separate area with no cleaning work performed nearby has minimal exposure likelihood.
What product was used in that area? Check your service records or product log. All-purpose surface cleaners and glass cleaners are the most common overspray sources. Acidic descalers or high-concentration degreasers in close proximity carry higher damage potential. Fragrance-only air treatments without active cleaning agents have near-zero phytotoxic potential.
Was the plant moved or covered during service? If you or the client moved the plant before cleaning, or if you placed a barrier (cloth, tray) around it, exposure is unlikely. Note this in your documentation.
If exposure likelihood is low based on these three questions, document that finding and proceed to the pre-existing condition evaluation below before accepting any liability.
Step 2: Evaluate the symptom pattern
The physical pattern of damage is the most reliable differentiator between chemical contact and pre-existing stress.
Patterns consistent with chemical contact:
- Leaf edge burn or tip die-back appearing on leaves that were facing the cleaned surface
- Small, discrete spots with a bleached or discolored center, often on the upper leaf surface (the side that would catch overspray)
- Rapid onset - symptoms visible within 24 to 48 hours of service
- Damage concentrated on outer leaves closest to the cleaning area, with inner or lower leaves unaffected
Patterns consistent with pre-existing stress:
- Yellowing that begins at the lower, older leaves and progresses upward - this is a classic nutrient deficiency or overwatering pattern unrelated to external chemical contact
- General wilting across the entire plant with no spotting - more consistent with root stress (overwatering, underwatering, compacted soil, or root rot)
- Brown tips on many leaves simultaneously - common with low humidity, fluoride in tap water, or salt buildup from fertilizer over time
- New growth showing damage equally with old growth - chemical contact typically affects leaves that were present and exposed; new growth after the service date would not be affected
Ambiguous presentations:
If spotting is present but distributed across leaves on all sides of the plant (not just the side facing the work area), chemical contact is less likely. Spots on lower or interior leaves that could not have received direct overspray suggest a pre-existing fungal or bacterial issue.
Step 3: Establish the symptom timeline
Ask the client specifically: "When did you first notice the damage, and what did the plant look like when you left for the day we cleaned?"
- Symptoms noticed within 24 hours: consistent with chemical contact or coincidental rapid progression of a pre-existing problem.
- Symptoms noticed three or more days after service: more consistent with a pre-existing issue that the client attributed to the service after noticing it later. Chemical contact damage typically manifests within one to two days.
- Client states the plant "looked fine before you came": this is a memory claim, not documented evidence. Ask whether there are any photos of the plant before service. In most cases there are none, which leaves the timeline unverifiable.
Step 4: Document and communicate your finding
Regardless of your conclusion, complete these documentation steps before responding to the client:
- Photograph the plant at the time of the claim conversation, including close-ups of affected leaves and the plant's location relative to the cleaned surfaces.
- Note the product used in the area, the dilution, and the method of application (spray bottle, mop, cloth wipe).
- Write a brief summary of the symptom pattern and which category it fits based on Steps 2 and 3 above.
If the evidence supports chemical contact: acknowledge the finding, explain what likely occurred (overspray during surface cleaning), and offer a fair resolution. This may include replacement of the plant at cost or a partial credit toward the next service. Document the resolution.
If the evidence supports pre-existing stress: communicate your finding clearly and without accusation. Example language: "Looking at the pattern of damage - the yellowing starting from the lower leaves and the wilting across the whole plant - this is consistent with a root stress issue rather than surface overspray, which typically shows up as spots on the outer leaves facing the work area. I want to be straightforward with you about what I'm seeing."
If the evidence is inconclusive: be honest about that as well. Offer to have the conversation again with photos if the client can provide any pre-service images. Do not accept liability for an inconclusive claim without evidence that exposure occurred.
Do not use high-concentration cleaning agents near open pots or planters without moving or covering plants first. Some active ingredients are phytotoxic even at low concentrations. Build plant protection into your pre-cleaning setup routine to prevent this claim scenario from arising.
