HEPA Vacuum Verification and Field Testing

Why this matters

A vacuum stamped HEPA out of the box does not mean it is filtering at HEPA performance after six months on a commercial route. Bag leaks, filter gasket compression, casing cracks at the wheel mounts, and tipped over operators forcing on the lid all create bypass paths. If you are billing an account for HEPA service (post construction, medical, mold, lead RRP), and a state inspector tests the unit and finds it leaking, you have a refund demand on a year of invoices and a potential EPA Renovation, Repair and Painting violation. Verification is cheap, fast, and protects both the customer and the contract.

What HEPA means

True HEPA per the U.S. Department of Energy definition (also referenced in 40 CFR 745 for lead RRP work) captures 99.97% of 0.3 micron particles. ULPA is 99.999% of 0.12 micron. Anything marketed as HEPA-type, HEPA-like, or 99% efficient is not HEPA. The acronym is meaningless without the 99.97% at 0.3 micron rating.

For lead work under the EPA RRP rule, the vacuum must be HEPA, must be in working order, and must be tested. For mold remediation under IICRC S520, HEPA filtration is required on negative air machines and vacuums used inside containment.

Pre verification checklist

Before testing, walk the unit:

  1. Filter is in date per manufacturer label. Most HEPA filters are rated for around 100 hours of use or 12 months from install, whichever comes first.
  2. Filter gasket compresses uniformly when the casing closes. A nick, tear, or hardened section creates bypass.
  3. Bag or canister sealed correctly. A bag with a torn collar dumps unfiltered air past the HEPA element.
  4. Hose intact end to end. Hold the hose up and look for cracks, kinks, or tape repairs.
  5. Power cord intact, no insulation breaks, ground pin present and not loose.
  6. Casing crack inspection at wheel mounts, handle attach points, and lid hinge.

If any of these fail, take the unit out of service before testing.

DOP / PAO field test (gold standard)

The dispersed oil particulate (DOP) or polyalphaolefin (PAO) test uses a calibrated aerosol generator and a photometer. This is how factory filter integrity is verified and how a third party lab will test if you ever need a forensic record.

  1. Run the vacuum at full power for at least 5 minutes to reach steady state.
  2. Inject DOP or PAO aerosol at the intake port at the manufacturer specified concentration.
  3. Scan the exhaust outlet AND every seam, gasket, and joint on the housing with the photometer probe held within 1 inch.
  4. Reading should be under 0.01% of the upstream challenge concentration anywhere on the housing.
  5. Any reading above that threshold is a leak. Locate, repair, retest.

This requires equipment that runs north of two thousand dollars MSRP for a portable photometer and aerosol generator. Most contractors do not own one; lease it for an annual fleet certification day or send units to a third party.

Smoke pencil test (field check)

A practical weekly or post incident check that catches major bypass paths without lab equipment.

  1. Run the vacuum at full power.
  2. Hold a smoke pencil or incense stick at every seam, gasket, hose joint, and the bag chamber lid.
  3. Smoke should be drawn INTO the unit at every intake side path. Smoke should NOT be visibly pushed away from the exhaust except in the intended exhaust stream.
  4. If you see smoke pushed away from a seam that should be sealed, that seam is leaking unfiltered air.

This catches gasket failures, cracked housings, and bag collar leaks. It does not certify filter media integrity (a torn HEPA element can still pull air through gaskets correctly) so it is not a substitute for DOP for compliance work.

Filter pressure differential check

Most professional HEPA vacuums have a service indicator (red zone on a gauge or LED) that monitors restriction across the filter. A clogged filter shows high pressure differential and is replaced; a damaged filter sometimes shows low pressure differential because air is bypassing the element. Check the gauge at every service visit and document the reading on the unit log.

When to retest

  • After every filter change
  • After every bag collar repair or replacement
  • After any drop or impact
  • Quarterly at minimum for any unit used on RRP or mold work
  • Annually for any unit used on medical accounts
  • Before the first job after the unit returns from any repair

Document the test

Every verification produces a paper trail:

  • Unit serial number
  • Date and time of test
  • Test method (DOP photometer, smoke pencil)
  • Reading or pass/fail per location scanned
  • Technician name
  • Pass / fail decision and disposition (return to service, take out of service, scheduled retest)

Keep these records for at least 3 years for RRP work per 40 CFR 745.86 record retention.
