Quote Gutter Replacement Accurately
Goal
Build an accurate, defensible quote for residential gutter replacement that protects your margin + sets correct customer expectations. Underestimating eats profit; overestimating loses jobs to competitors.
Prerequisites
- Tape measure or laser distance tool
- Camera for documentation
- Inspection checklist
- Pricing matrix for your business
- 30-60 minutes per house
Steps
Step 1: Measure linear feet (15-20 min)
For each side of the house with gutters:
- Measure from corner to corner along eave
- Include any gutters at lower roofs (porch, addition)
- Note inside + outside corners
- Round to nearest foot
- Total linear footage = sum of all sides
For complex roofs:
- Multiple eaves at different levels
- L-shaped, T-shaped, U-shaped footprints add complexity
- Each plane needs its own measurement
Step 2: Count downspouts needed (10 min)
Plan downspout locations:
- 1 per 30 ft of gutter run (5" K-style + 2×3 downspout)
- 1 per 40 ft (5" K-style + 3×4 downspout)
- 1 per 50 ft (6" K-style + 3×4 downspout)
- Corners often best for downspouts (concealed in landscaping)
- Avoid main entry doors (aesthetic issue)
Note downspout length needed:
- From gutter to grade
- Add 4-8 ft horizontal extension OR underground drain tile
Step 3: Inspect fascia + roof edge (15 min)
This determines additional scope:
- Fascia condition: rot, peeling, water staining (visible from ladder)
- Drip edge: present? Condition?
- Roof edge: shingles overhanging correctly?
Document with photos. Each rotten fascia board = additional scope.
Step 4: Document existing gutter material + age
- Current material (aluminum, steel, vinyl, copper)
- Approximate age
- Visible failures (sagging, leaks, rust, separation)
- Customer may be replacing because of failures OR aesthetics
Step 5: Customer scope discussion
Before quoting, confirm:
- Same color OR change?
- Same gutter size OR upgrade?
- Leaf guards included or separate?
- Drainage discharge: standard OR extended OR underground?
- Timing: when do they want work done?
- Budget context (helps you tier the quote)
Step 6: Build the quote
Base scope (always include):
- New aluminum K-style seamless gutters (5" or 6")
- Hidden hangers (every 24-32")
- Drip edge if missing
- New downspouts (size per math)
- Splash blocks at discharge (basic)
- Tear-off + disposal of old gutters
- Cleanup
Adders (additional cost lines):
- Fascia repair / replacement: priced per linear foot of rotten fascia - the priciest of the linear-foot adders
- Drip edge install if missing: priced per linear foot - the cheapest of the linear-foot adders
- Leaf guards: priced per linear foot, well above drip edge but below fascia repair
- Underground drain tile to discharge: priced per linear foot, the most expensive per-foot adder on this list
- Pop-up emitter: a modest flat charge per downspout
- Premium color (non-standard): 10-20% upcharge
- 6" upsize from standard 5": ~30% upcharge
- High access (3-story, steep slope): 20-50% upcharge
- Old/heavy gutter removal (steel, copper): 30-50% labor upcharge
Step 7: Present three tiers (if appropriate)
- Standard: aluminum, basic hangers, standard discharge - base price
- Better: heavier gauge, premium hangers, leaf-mesh guards - base + 30%
- Best: 6" gutters, micro-mesh guards, underground drain tile - base + 70-100%
Customer chooses; you don't push.

Common quoting mistakes
- Round price by length: forgets corners, miters, downspouts
- Forgetting fascia: rotten fascia adds significant scope
- Underquoting access: 3-story homes take longer + need lifts
- Forgetting tear-off costs: removal + disposal of old gutters
- Skipping the inspection: surprises during work = friction
- No itemized adders: customer doesn't see the value of upgrades
- Quoting without seeing the property: photos lie; site visit essential
- Missing the conversation about discharge: drainage matters more than gutters; offer it
When to walk away from a job
- Job needs major structural repair (rotten framing behind fascia)
- Customer wants gutter work to fix non-gutter problem
- Customer's budget is half what realistic quote requires
- Personality mismatch (some customers are red flags)
Customer expectations to set
In your quote:
- Weather may delay work (in writing)
- Fascia repairs estimated; actual cost confirmed during work
- Cleanup includes magnetic sweep but minor debris in landscaping is possible
- Existing roof edge issues NOT included unless specified
Productivity benchmarks
For a single-family residential gutter job:
- 1,000-1,500 sq ft home (120 lin ft): 1-1.5 crew-days
- 1,500-2,500 sq ft home (180 lin ft): 1.5-2 crew-days
- 2,500+ sq ft home (250 lin ft): 2-3 crew-days
Crew = 2 people. Add labor cost accordingly to quote.
The single biggest quote-accuracy improvement: ALWAYS WALK THE PROPERTY DURING THE QUOTE. Don't rely on what the customer described, what Google Earth shows, or what your gut says. The 30 minutes to measure + photograph in person reveals: hidden fascia rot, unusual roof configurations, access challenges, customer property quirks. The walk converts a 70% accurate quote into a 95% accurate quote - preventing cost overruns + the "you didn't quote that" arguments.
