New Customer Welcome Email Template

Summary

Template for welcoming a new pest-control service customer after their first visit. Used to set expectations for the upcoming year, normalize between-visit observations, and establish the relationship as ongoing rather than transactional. Sent within 24 hours of the first service.

Details

The welcome email's jobs:

  1. Confirm the customer made a good choice
  2. Set expectations for what's normal between visits
  3. Provide reference info (tech name, phone, what to expect when to call)
  4. Establish the personal connection that prevents future cancellations

Pest control has a unique customer experience: customers don't "see" the service the way they see a clean carpet or a freshly-mowed lawn. The welcome email + ongoing communication is how customers perceive value.

Action Required

Edit the placeholders + send by email to the new customer. Personalize where possible (use the actual technician's name + property-specific notes).

Subject: Welcome to [BUSINESS] - here's what to expect

Hi [FIRST NAME],

Welcome to [BUSINESS], and thank you for letting us serve your home. I wanted to share what to expect going forward.

Your service schedule

Based on what we discussed, you're enrolled in [PROGRAM TIER]. That means:

  • Visits: [N] times per year (quarterly typically), with calls in [MONTHS]
  • Between visits: ongoing monitoring through bait stations + the work we did this visit
  • Your technician: [TECHNICIAN NAME] will be your regular tech

What's normal between visits

In the first 2 - 4 weeks after treatment, you may see:

  • More dead insects than usual - that's the treatment working
  • Occasional ants or other pests - particularly in the first week as the colony works through bait
  • Activity dropping off over 2 - 4 weeks

This is the NORMAL pattern. If you're worried OR seeing something we should know about, just call.

When to call us between visits

Call right away if:

  • You see active infestation that wasn't there before (new ant trails, mouse droppings, etc.)
  • You notice damage we should investigate (wood damage, chewed wiring)
  • Something just feels off - we'd rather check than have you worry

We'll come back at no extra cost for any issue that should have been resolved by our most recent visit. That's our work guarantee.

Saving our info

Easiest way: save this email + save our number in your phone:

[TECH NAME] (your regular tech): [PHONE] [OFFICE]: [PHONE] [EMAIL]: [EMAIL] [WEBSITE]: [URL]

Referral

If you know someone who'd benefit from our work - passing this email along is the best compliment I could ask for. For your referral, we offer [REFERRAL REWARD] for any customer who signs up for a recurring service.

Thank you again for your trust. I'll see you at the next visit.

Effective Date

Send within 24 hours of the customer's first service visit. Same-day-send works best; the customer is still thinking about the service while the impression is fresh.

The welcome email is also a referral asking opportunity - but ask LIGHTLY (the customer doesn't know your reputation yet). The strong referral ask comes at the 3-month + 6-month follow-up after positive results. The welcome is establishing relationship; the later asks are leveraging it.
