How to Label and Document What You Installed
Why this matters
Six months from now, someone stands in front of the thing you installed and needs to answer a question fast: what is this, when did it go in, is it under warranty, which breaker feeds it, which valve isolates it. If the answer lives only in your memory, you have built a future callback and a warranty claim you cannot support. Labeling and documenting the install is the ten minutes that saves an hour later, for the next tech, the customer, and you. Do it at the equipment, on the asset, not from the truck afterward when the model number is already a guess.
Step 1: Capture the identity of what you installed
Before you button up, record the details you can only read while you are standing there.
- Make, model, and serial number off the nameplate. Photograph the plate rather than transcribing it; a photo cannot fumble a digit.
- Install date and who installed it.
- Key ratings that matter for future service: capacity, voltage, pressure rating, size, whatever a future tech needs to match a part.
The serial number is the one field people skip and regret. It gates warranty, recall lookup, and correct parts every time.
Step 2: Put a physical label on the asset itself
The record in the office does no good to the tech standing at the equipment. Label the hardware so it identifies itself.
- On the equipment, mark the install date and, where it helps, the part or filter size, so the next filter or consumable is a glance, not a measurement.
- On any consumable you leave behind (a filter, a belt, a battery), write the date installed directly on it so anyone can see its age.
- Use a durable, weather-appropriate label. A marker note that washes off in one season is not documentation.
Step 3: Label the controls and isolation points
The most valuable labels are the ones that save the next person from guessing which control does what, especially under pressure.
- Isolation points - tag the valve, breaker, or disconnect that isolates what you installed, and label what it feeds. A clearly labeled shutoff turns a frantic search into a two-second action during a leak or a fault.
- Panel and circuit labels - if you added or changed a circuit, update the directory so it reads true. A wrong panel label is worse than no label because someone will trust it.
- Direction and setpoints - mark flow direction, normal position, or a setpoint where getting it wrong causes damage.
For anything an untrained person might touch, a clear label prevents the accidental wrong move.
Step 4: Note the as-installed configuration
Record how you actually left it, which is not always how the plan read.
- Settings you configured: the setpoints, modes, or programming you dialed in, so a factory reset can be undone and the next tech knows what is intentional.
- Anything nonstandard: a workaround, a nonobvious routing, an adapter, a part substituted for what the manual specifies. The next tech needs to know it is deliberate, not a mistake.
- Where the installed item sits relative to the rest of the system, if that is not obvious.
Step 5: File the record where it will be found
A record no one can find is a record that does not exist.
- Attach the nameplate photo, install date, and configuration notes to the job or the equipment record, not a loose note in the truck.
- Tie it to the specific asset so a future lookup by that unit pulls the history, warranty, and settings together.
- Hand the customer what they need to keep: the model and serial, the install date, and where the isolation points are.
Step 6: Leave the warranty trail intact
Warranty disputes are won and lost on documentation.
- Record the install date, the serial, and proof of correct installation, because a warranty claim will ask for all three.
- Keep any registration step the equipment requires, and note that it was done.
- Photograph the finished install showing it is done to standard. That photo is your evidence if the manufacturer questions the claim later.
The habit to bank: document the identity while you can read it, label the asset and its shutoffs so they explain themselves, and file it against the specific unit. The install is not finished when it runs. It is finished when the next person can service it without calling you.
