The Batch Day vs Emergency Day: Decision Tree

Why this matters

Two days of work that look identical on paper run completely differently. A batch day is planned, routed tight, and grouped so you waste no drive time and carry exactly the right stock. An emergency day is reactive: a no-heat call drops in, the route reshuffles, and the careful plan blows up. The mistake is running both the same way. If you treat a batch day reactively you lose the routing gains, and if you treat an emergency day rigidly you fail the customer who is actually on fire. This tree helps you read which day you are in and run it right.

Start here: how much of the day is committed and known?

The first read is simple. Look at the schedule and ask what fraction is fixed, known work versus open, reactive capacity.

  • Mostly known and bookable ahead? You are in a batch day. Optimize it.
  • A real emergency in play, or high odds one lands? You are in an emergency day. Stay reactive and protect slack.
  • A mix? Most days are. Run the known portion as a batch and reserve a buffer for the reactive portion. The skill is doing both at once.

If it is a batch day: optimize for throughput

The whole point is to eliminate waste between stops, because the stops themselves are known.

  • Group by geography. Order the route so you drive the least. Clustering nearby jobs is the largest single time saver on a planned day.
  • Group by job type. When several stops are the same kind of work, sequence them together so your head and your truck stay in one mode and you carry one focused stock load.
  • Load precisely. You know the jobs, so stage exactly the parts and tools they need. No guessing, no broad just-in-case pile.
  • Pack the schedule, but leave one seam. Even a batch day needs a small buffer, because one job running long should not topple the rest. Build a little slack at the midpoint.
  • Confirm ahead. Verify access for the stops so a locked door does not break the tight chain.

If it is an emergency day: protect slack and triage

Here the goal flips: you are buying the ability to respond, and idle capacity is the cost of readiness.

  • Keep a broad truck stock. You do not know what is coming, so carry the common fixes for your trade's emergency calls.
  • Hold buffer in the schedule. Do not pack it. The whole value of an emergency day is the open capacity to absorb the call that matters.
  • Triage by genuine urgency, not loudness. A no-heat in freezing weather, an active leak, a safety hazard, or a total loss of an essential system jumps the line. A cosmetic complaint does not, no matter how insistent. Rank by real consequence.
  • Communicate the reshuffle. When an emergency bumps a scheduled job, call the bumped customer immediately and reschedule cleanly. Handled well, they understand; handled silently, you lose them.

If it is a mixed day: run both lanes

Most real days are a planned core plus reactive headroom, and the move is to do both deliberately:

  • Batch the known stops into a tight morning or a tight geographic cluster.
  • Reserve a defended buffer for the reactive work and do not let the batch creep into it.
  • Decide your bump rule in advance: what kind of emergency justifies breaking the batch, and what does not. Deciding under pressure leads to chasing every loud call and finishing nothing.

The dispatch lesson: shape the day on purpose

The biggest gains come before the day starts, from whoever builds the schedule. Cluster bookable work into batch days and geographic blocks. Keep deliberate emergency capacity so reactive calls land in slack instead of detonating a packed plan. When you notice the schedule mixing tight batches with open-ended emergency exposure and the two keep colliding, that is feedback for dispatch: separate the lanes so each day can be run the right way.
