The Daily Cash Close Checklist

Why this matters

Money goes missing in the gaps: a cash payment never logged, a card charge never captured, an invoice marked paid that never cleared. None of it looks like theft; it looks like sloppiness, and it compounds until the books do not match the bank and nobody can say why. This checklist is the short end-of-day routine that keeps every dollar accounted for while the day is still fresh. The miss it prevents: an untraceable gap between what you collected and what you can prove you collected.

Phase 1: Account for every payment taken today

  • List every job completed today and confirm each is invoiced or has a stated reason it is not yet.
  • Match every payment collected (cash, check, card, portal) to a specific invoice or job.
  • Confirm each card and portal transaction shows as captured, not just authorized.
  • Log cash payments immediately and set the physical cash aside in one controlled place.

Phase 2: Reconcile against the record

  • Compare total collected today against what your system says was collected, and investigate any gap the same day.
  • Confirm no invoice was marked paid without a matching payment record behind it.
  • Record and stage every check for deposit before it leaves your hand.
  • Note any partial payment and the remaining balance so it is not forgotten.

Phase 3: Catch what is owed and what is overdue

  • Review invoices that came due today and confirm they were actually sent, not sitting in a draft.
  • Scan for anything newly past terms and queue the follow-up.
  • Confirm any deposit taken is recorded as a deposit, not double-counted as final revenue.

Phase 4: Secure and hand off

  • Secure cash and checks per your process. Never leave the day's collections loose overnight.
  • Confirm tomorrow's scheduled work is priced and ready to invoice.
  • Leave the day reconciled so whoever opens tomorrow starts from a known-good number.

The rule to keep

Reconcile daily, not monthly. A gap found the same day is a memory away from being solved. The same gap found at month-end is a mystery you will never close, and it is why the bank balance and the books drift apart.
