The Equipment Maintenance Checklist

Why this matters

The tools are the business. A cordless driver that dies mid-install is an annoyance; a meter that reads wrong because it is out of calibration is a wrong diagnosis, a comeback, and sometimes a safety event. A ladder with a hairline crack in the rail is a hospital visit waiting for the wrong day. Equipment does not fail on your schedule, it fails on the job in front of a customer. A maintenance rhythm catches the failure in the shop, where it is cheap and quiet.

Phase 1: Safety-critical gear, checked first

A failure here hurts someone, so these come before any tool gets used.

  • Inspect ladders and step stools for cracked rails, bent rungs, loose feet, and missing labels; pull any damaged one from service.
  • Confirm the tester you use to verify a circuit is dead reads correctly on a known-live source before you trust it on a dead one.
  • Check that PPE is present and sound: eye protection uncracked, gloves un-torn, dielectric gloves within their inspection window, respirator seals intact.
  • Verify the truck's fire extinguisher is charged, in date, and mounted where you can reach it.
  • Inspect power cords, extension cords, and tool housings for cuts, exposed conductors, and cracked cases; tag out anything damaged.

Phase 2: Daily and per-use

  • Wipe down and visually inspect each tool before it goes back on the truck.
  • Charge batteries at the end of the day so nothing starts empty.
  • Check fluid and fuel on any engine-driven equipment before a job that needs it.
  • Confirm blades, bits, and cutting edges are sharp and undamaged; a dull edge is slower and more dangerous.
  • Report any tool that felt wrong (hot, sluggish, sparking, loose) instead of putting it back silently.

Phase 3: Weekly

  • Clean and lubricate moving parts per the tool's guidance: chucks, slides, hinges, valves.
  • Inspect hoses, fittings, and couplers on air or pressure equipment for leaks and wear.
  • Check tire pressure and condition on trailers, carts, and the service vehicle.
  • Restock the consumables the tools depend on: blades, tips, filters, lubricant.
  • Test any safety cutoff, trigger lock, or guard for correct operation.

Phase 4: Monthly and periodic

  • Run engine-driven equipment under load to confirm it starts and holds, especially anything held in reserve for emergencies.
  • Inspect and service filters on vacuums, compressors, and recovery equipment.
  • Deep-clean equipment that collects debris, which shortens motor life if left.
  • Load-test batteries and retire any that no longer hold a useful charge.

Phase 5: Calibration and records

  • Send meters, gauges, torque tools, and detectors out for calibration on their due schedule, and keep the certificate.
  • Keep a simple log per major tool: in-service date, service dates, calibration due, and any repair.
  • Track warranty and service intervals so a covered repair is not paid out of pocket.
  • Set a reminder for the next calibration and seasonal service so nothing lapses.

The judgment to bank: a tool you did not inspect is a tool you are trusting blind, and calibration is not paperwork, it is whether your readings are real. Run the safety phase every day and the cadence phases on a set day, and equipment stops surprising you in front of customers.
