Equipment-Day Documentation for Defensible Invoicing
Why this matters
The single largest line on most water-restoration invoices is equipment-days: dehumidifiers, air movers, air-filtration devices, hardwood floor mats, and supplemental heat units, each billed per day deployed. A carrier or independent adjuster will challenge any equipment-day count that is not backed by photographic, environmental, and meter documentation. A project that ran 14 air movers for 5 days will collect the full amount only when the file proves each unit ran each day in a location that justified its presence. This SOP is the daily routine that produces an undisputable equipment log.
What carriers look for in a denial
When an equipment-day line is rejected, the rejection usually cites one of:
- No psychrometric data showing drying was incomplete on the day in question.
- No photo or installation log confirming the unit was deployed at all.
- Equipment count exceeds what the cubic footage of affected area would reasonably need.
- Same equipment billed across multiple unrelated areas of the project.
- Run-hours on the unit's hour meter, when later requested, do not match the billed days.
Every item on that list is closed out by the documentation routine below.
Daily routine
The cycle runs once per day, usually first thing in the morning before the homeowner is awake and ready to talk, while the technician is taking psychrometric readings anyway.
Step 1: psychrometric log
Before touching any equipment, take readings at:
- One outdoor reference location.
- One unaffected indoor reference room.
- Each affected room (working room, adjacent room with wet wall cavity, basement zone if separate).
Record dry-bulb temperature, RH, and GPP at each location. The drying-validation logic uses the GPP gradient between affected and unaffected zones, not the RH alone.
Step 2: substrate moisture log
Walk each affected area with a pinless meter (Tramex for masonry and drywall, pinned Delmhorst for wood) and log:
- Each previously-marked wet zone (mark with painter's tape at intake, reread every visit).
- A representative number of "should be dry" reference points on the same substrate in an unaffected area.
- Hardwood reference points specifically: equilibrium moisture content varies by region and season.
Use a consistent grid. Marking 8 to 12 points on a 20 ft wall on visit one, then reading the same 8 to 12 points on every subsequent visit, produces a clean trend chart that justifies the equipment day-by-day.
Step 3: equipment status check
Walk each piece of equipment in deployed order:
- Confirm the unit is running.
- Read and log the hour meter, if equipped. Most professional-grade LGR dehus (Phoenix, Drieaz, B-Air, Dri-Eaz Studebaker) have hour meters; air movers usually do not.
- Confirm dehu condensate is draining or the pump is functional.
- Photograph the unit in place, with the room visible behind it for context.
- Confirm the filter is clean; replace if loaded.
If a unit was off when you arrived, note the reason and the duration if you can determine it. Billing for a unit that was unplugged for a day is a credibility problem; documenting that it was off and was restarted preserves the file.
Step 4: equipment placement adjustments
Most projects need air-mover repositioning every visit as the drying front moves. Photograph the new placement. The progression of photographs (Day 1, Day 2, Day 3) is the strongest piece of evidence that the equipment was actively managed, not abandoned.
If equipment is removed during the visit (a room is dry enough to demobilize three movers), photograph the removal and update the count in the project file. Stop billing for those units on that day.
Step 5: written progress note
A short note in the project file, written on the spot:
Day 4 visit, 0815. All 8 air movers and 2 LGR dehus running. Front wall down from 38 percent MC to 22 percent on Tramex; rear wall stalled at 28 percent, repositioned 2 air movers to drive that face. Indoor GPP 58, outdoor 32. One dehu filter replaced. Estimated 2 more drying days, will reassess at next visit. Photo set 2026-05-28 attached.
That paragraph, written in the moment, becomes the carrier's anchor when the invoice is challenged six weeks later.
Equipment count justification
Carriers commonly apply quick-check formulas: one air mover per 10 to 16 linear feet of affected wall, one dehumidifier per 1,000 to 1,500 square feet of affected area (LGR) or 500 to 800 square feet (conventional). Going substantially above those counts requires written justification in the project file. The valid justifications:
- High-density substrate (engineered hardwood over slab, plaster, dense framing) requires more air movers per linear foot than standard drywall.
- Hidden cavity drying (under-tile mat, in-wall injection cavity) consumes machines that do not contribute to room-volume drying.
- Cold project conditions force more dehumidifiers to compensate for lower per-unit capacity at low inlet GPP.
- Multiple separated zones (basement plus second floor) cannot share air handling; each zone needs its own machine fleet.
When the project plan calls for above-quick-check counts, write the justification on Day 1 in the project file. Adding it after the carrier challenges the invoice looks like rationalization.
The hour-meter discipline
Hour meters on dehumidifiers are the carrier's favorite audit tool. If the billed equipment-days are 5 and the meter reads 36 hours of runtime, the carrier will reduce to 1.5 equipment-days. The defense:
- Some technicians cycle dehus off during heavy equipment work in the same room (drywall demolition, antimicrobial application) so suspended dust does not clog filters or freeze coils. Document the off cycles.
- Power outages, breaker trips, GFCI nuisance trips drop runtime. Document.
- The carrier expectation is roughly 18 to 22 hours of runtime per day on a 24-hour deployment; 24/24 is uncommon because of defrost cycles, brief shutoffs for filter service, and brief power interruptions.
Match the documented narrative to the meter. If meter and narrative disagree, the carrier sides with the meter.

Most North American restoration carriers reconcile against Xactimate pricing. Common equipment-day line items:
- AIR MOVER / FAN per day.
- DEHU LGR or DEHU REFRIG per day.
- AFD AIR FILTRATION DEVICE per day.
- HEAT supplemental, electric or fuel-fired, per day.
- HARDWOOD FLOOR DRYING MAT SYSTEM per day per zone.
