Customer Wiped Them With a Towel After: DIY-Induced Decision Tree
Why this matters
A common pattern: crew finishes a residential clean, customer inspects the glass an hour later, sees a spot they think was missed, grabs a kitchen towel and wipes it. The towel deposits lint, redistributes oils from a fabric-softener residue, and leaves streaks that were not there when the crew left. The customer then calls and reports "you left streaks." Without a structured triage, the company either eats a full redo for a defect it did not cause or argues with the customer over who left what. This decision tree separates company-caused defects from DIY-induced ones and produces a fair, defensible outcome.
The point of the tree is not to win an argument. It is to identify the actual condition of the glass, determine the cause, and offer a remedy that fits the cause: free touch-up where the crew left a defect, paid touch-up or a goodwill clean where the customer introduced the defect, and a documented record either way.
Step 1: Look at the streak pattern
Drying-rope streaks from a squeegee finish run in clean parallel arcs or single horizontal lines and lie flat to the glass. Towel streaks are different: they show a swirl pattern, often with a faint cloudy halo, and sometimes carry visible lint embedded in the haze. Hold a flashlight at a low angle. A camera-phone photo with the flash on at a shallow angle is the standard documentation step.
If the marks are clean linear squeegee tracks, the crew is the source. Route to a free touch-up under Step 5.
If the marks are swirled, hazed, or carry lint, the towel is the source. Route to Step 2 to confirm and to set up the conversation with the customer.
Step 2: Confirm with the customer what happened
Ask the customer directly and politely: "Did you wipe any of the panes after we left?" Most customers will say yes without hesitation; they did not think it was a problem. Once they confirm, the diagnosis is closed and the conversation moves to remedy.
If the customer says no but the pattern is clearly a wipe pattern, ask whether anyone else in the household (a partner, a housekeeper, a contractor on site) may have touched the glass. In multi-occupancy and short-term-rental properties this is common.
If no wipe occurred and the swirl pattern persists, consider an alternative cause: a microfiber detailing cloth used by the crew that had been laundered with fabric softener. Fabric softener leaves a hydrophobic residue that produces a near-identical swirl haze. Route this case to Step 5 as a crew-cause issue and pull the contaminated cloths from the kit.
Step 3: Diagnose the towel involved
If the customer has the towel they used, look at it. A terrycloth bath towel sheds heavy lint and the haze on the glass will show fiber inclusion. A microfiber that has been laundered with softener will not visibly shed but will smear oils on the glass. A paper towel produces fine paper dust and small fragments adhered by static.
This step matters because the remedy is different. Heavy terrycloth lint requires a re-wash to clear (water and squeegee). Softener residue requires re-wash and may also require an alcohol or surfactant pass to lift the oily film. Paper-towel dust will often come off with a dry microfiber pass without water.
Step 4: Decide who pays
The decision tree pays out as follows:
- Crew left streaks: free touch-up of the affected panes. Document the cause (worn blade, untrained detailer, contaminated cloth) and add a corrective action internally.
- Customer wiped after service: choose between two paths based on the company's policy:
- Goodwill touch-up: re-wash affected panes at no charge once. Document on the invoice as a goodwill gesture, not a defect acknowledgment. This is the right choice if the customer is a recurring account or the panes are few.
- Priced touch-up: bill at a minimum service rate. Right choice for one-time customers, large pane counts, or repeat offenders where the same situation is recurring monthly.
- Mixed: some company streaks, some customer streaks. Re-wash all affected panes free; the company saves more in goodwill than it gains by parsing each pane.
Step 5: Execute the touch-up correctly
If the cause was a contaminated detailing cloth on the crew side, the same kit must not return. Issue fresh cloths laundered without fabric softener and dryer sheets. The kitchen-grade detergent used to wash microfiber is the same kit issue; switch to a residue-free detergent and air-dry or low-heat tumble.
For the touch-up clean, use clean rinse water, a sharp squeegee blade, and a clean lint-free scrim. Do not just "rub harder" with a microfiber over the streak; that redistributes the oil and reseats the haze.
Step 6: Educate the customer
After the touch-up, brief the customer in plain language. The talking points: "Microfiber and squeegee work together; a regular towel will leave the kind of marks you saw because it deposits lint and oil. If you ever want to spot-clean between visits, use a clean dry microfiber, not a kitchen towel or paper towel." This conversation reduces repeat callbacks more than any other single intervention on residential routes.
Optionally, leave a small printed care card with the same advice. Customers who get the card report fewer repeat issues than those who only hear it verbally.
Step 7: Update the record
Record the cause, the action taken (free, goodwill, or paid touch-up), and any internal corrective actions. If the customer is recurring and this is a repeat pattern, add an account note so the next crew finishes with a verbal hand-off ("we are leaving the windows clean; please give them an hour to dry and don't wipe with a towel"). This is not a guarantee, but it shifts the average outcome.
