Painting Productivity Benchmarks Reference
Why this reference exists
Pricing paint work without realistic productivity benchmarks is the #1 reason painting businesses fail. A painter who quotes by feel instead of by labor-hour ends up underpricing the difficult work + overpricing the easy work - both lose money. This reference is a working table of how long things actually take, in average residential conditions, for a competent painter.
Use this for estimating + for tracking actual crew productivity vs benchmark. The gap tells you who needs training + who's ready for the next promotion.
Working assumptions
- Average residential conditions (8-9 ft ceilings, accessible, normal hand-and-arm prep)
- Skilled solo painter; some tasks faster with two-person crew
- All numbers are CLEAN labor - set up + cleanup + travel ADDED separately
- 2025 U.S. pricing assuming a solidly mid-range blended (skilled + helper) labor cost; price = labor × overhead × profit
- "Coats" = 2 finish coats over primed surface unless noted

Setting up + cleanup
Often forgotten in estimates:
- Set up first day: 30-60 min for interior room; 60-180 min for exterior
- Cleanup each day: 30-60 min
- Final cleanup + touch-up: 1-3 hours
- Customer walk-through: 30-60 min
Add these to every estimate. Forgetting them = 5-10% loss on every job.
Profit math (sanity check)
If a crew bills a solid blended labor rate and runs 6.5 productive hours per 8-hour day:
- A modest sum in materials typical
- A larger sum as the revenue-per-crew-day target
Below the crew-day revenue target = losing money once truck + overhead included. Above it = healthy.
The single most useful tool a painting business buys is a time-tracking app for every crew + every job. Compare actual hours to estimated hours; the gap reveals which estimators underbid + which crews underperform. Six months of clean data turns a modest six-figure painting business into a much larger six-figure painting business without buying anything else.
