Canopy Looks Fine but Customer Insists It Is Dying: Reading In-Spec Decision Tree
Why this matters
A customer is convinced their tree is dying. They have called multiple arborists. Each visit reads the canopy as within normal seasonal and species variation. The customer is not satisfied. This is the "reading in-spec" call: the tree appears healthy by objective measures, but the customer's concern is real to them and they need a credible response. Handling this well requires confidence in the assessment, the ability to communicate it without being dismissive, and the discipline to spot the cases where the customer is actually right and the canopy variation is the early sign of a real problem.
Step 1: Take the customer's concern seriously
Before walking the tree, listen. Ask specifically:
- What changed, and when did they first notice it?
- What does dying look like to them? Leaf drop, color change, branch dieback, thinning, leaning?
- Are they comparing to last year, to a memory of the tree from years ago, or to a neighbor's tree?
- Have they had work done recently on the tree, in the yard, or in the soil nearby?
- Has the irrigation, drainage, or grading changed?
- Has any chemical been applied: lawn treatments, herbicides, fertilizers?
A customer who insists a healthy tree is dying often has noticed something subtle and real. The job is to find what they are reading and confirm whether it is in-spec variation or an early signal of something to investigate.
Step 2: Document the tree before forming a conclusion
Walk the tree with the customer if possible. Have them point to what concerns them:
- Photograph the specific features they are pointing at.
- Photograph the overall canopy from multiple angles.
- Note the species, approximate age, and approximate dimensions.
- Note the season and stage of phenology (leaf-out, full leaf, early color, leaf drop).
The customer pointing at something specific is more diagnostic than the customer waving at the tree generally. Get specific.
Step 3: Assess against species-normal variation
Several customer concerns commonly reflect in-spec variation:
- Crown thinning compared to nursery photos: nursery photos often show juvenile trees with dense foliage atypical of mature specimens. Many mature trees naturally have a more open canopy than their younger selves.
- Smaller leaves than the year before: leaf size varies year to year based on rainfall, temperature, and the prior year's stored energy. A modest size reduction is normal.
- Early fall color: some species (sugar maple, ash, dogwood) color earlier than others and may be in normal stress-response coloration in late summer without indicating mortality.
- Bark shedding: many species (sycamore, plane, river birch, paperbark maple) naturally shed bark in patches or sheets. This is the species, not damage.
- Sap on bark: many species produce sap, sometimes after temperature swings, insect activity, or minor wounding, without indicating disease.
- Surface roots: some species (silver maple, beech, several oaks) naturally produce visible surface roots over time. Not necessarily a problem.
- Branch tips with no leaves at the very ends: branch tip mortality of small twigs is normal in many species and is part of self-pruning.
- Galls and minor leaf damage: most leaf galls and aesthetic damage are species-normal and cause no harm.
If what the customer is concerned about falls into one of these categories, the diagnosis is in-spec.
Step 4: Run an objective assessment
Even when the concern looks in-spec, run a Level 1 visual assessment per ISA methodology before concluding:
- Crown density assessment, scored against the species norm.
- Crown dieback assessment, percentage of branch tip mortality.
- Foliage color and size.
- Trunk and major scaffold limb condition.
- Root flare visibility and condition.
- Site conditions: soil, drainage, recent disturbance.
If the objective assessment confirms the tree is within species and site norms, the diagnosis is documented in-spec. If it surfaces something unexpected, the in-spec hypothesis is revised.
Step 5: Look for what the customer might be reading correctly
Several real problems present subtly enough to be read as "looks fine but something is off":
- Early stage girdling roots: minor crown thinning, slight off-color foliage, no obvious symptoms. The buried root flare and circling roots tell the story.
- Early Verticillium or other vascular pathogen: subtle wilt, slight off-color on part of the canopy, no obvious dieback yet.
- Recent root zone disturbance: trenching for utilities, paving, retaining walls, regrading. The canopy may take one to three years to express the damage clearly.
- Herbicide exposure at sublethal levels: leaf deformation, slight chlorosis, in-spec to a casual eye.
- Early-stage decline from chronic drought or compaction: undersized leaves, modest crown thinning, slow growth.
- Borer activity in early stages: a few small holes, light sawdust, no obvious crown response yet.
Inspect for each of these specifically when the customer is insistent. A second walk-around with these in mind sometimes finds what the first walk-around missed.
Step 6: Decide the finding
Three possible conclusions:
Finding A: In-spec. The tree is within normal variation for species, age, season, and site. No action indicated. The customer's concern reflects an expectation that does not match species reality.
Finding B: Subtle real problem detected. Something the customer is reading correctly is in fact early-stage trouble. Action depends on the specific cause and stage.
Finding C: Uncertain. The objective assessment shows nothing actionable, but the customer's specific concern is consistent enough with possible early problems that monitoring is warranted.
Step 7: The customer conversation
For Finding A:
- Acknowledge that the customer noticed a real feature of the tree.
- Explain in plain terms why what they noticed is normal for this species at this age in this season.
- Show the comparison if possible (other specimens of the same species in the neighborhood, reference photos for the species, the same tree in prior years).
- Do not dismiss the concern. Document what was assessed and the conclusion.
- Offer a return visit if conditions change.
For Finding B:
- Show the customer what you found.
- Explain the diagnosis, the stage, and the recommended action.
- Acknowledge that they were reading something correctly. Validation matters.
- Quote the recommended action.
For Finding C:
- Tell the customer the objective assessment is reassuring but you have noted their concern.
- Recommend a follow-up visit in a defined period (typically 6 to 12 months for slow-progressing concerns).
- Identify the specific changes you will look for at the follow-up.
- Document the monitoring plan.
