Common Toilet Diagnosis Reference

Why this matters

Toilets are simple machines that fail in predictable ways. The tech who knows common failure modes diagnoses + fixes quickly. This is the field card.

Toilet basics

Components:

  • Tank: holds flush water
  • Fill valve: refills tank after flush
  • Flapper: seal between tank + bowl
  • Flush handle: triggers flush
  • Float: senses water level
  • Overflow tube: prevents tank overflow
  • Bowl: where waste collects
  • Trap: built into bowl (S-trap)
  • Wax ring: seals toilet to floor flange
  • Floor flange: connects to drain pipe
  • Supply line + stop valve: water to tank

Common toilet problems

Running toilet (constant water):

  • Flapper not seating (most common)
  • Fill valve cycling
  • Float adjustment
  • Most-common toilet call

Toilet won't flush:

  • Handle disconnect from flapper
  • Flapper stuck
  • Clog in bowl
  • Lift chain wrong length

Weak flush:

  • Low water level in tank
  • Partial clog
  • Old toilet (low water designs)
  • Jets clogged (around bowl rim)

Toilet overflows:

  • Bowl clogged
  • Plunge first
  • Snake if needed

Toilet rocks:

  • Loose floor bolts
  • Wax ring failure
  • Floor damage
  • Re-set + new wax ring

Toilet leaks at base:

  • Wax ring failure
  • Floor flange issue
  • Cracked toilet base (replace)

Toilet leaks from tank:

  • Flush valve seal
  • Tank-to-bowl gasket
  • Cracked tank (replace)

Slow refill:

  • Stop valve restricted
  • Fill valve issue
  • Supply line restriction

Ghost flushing:

  • Tank refills periodically
  • Flapper leak (water sneaks to bowl)
  • Fill valve refills as needed
  • Replace flapper

Diagnostic approach

For toilet issue:

  1. Listen + observe:

    • Constant running = flapper / fill issue
    • Slow refill = supply / valve issue
    • Won't flush = handle / flapper / clog
  2. Open tank + visual:

    • Water level (above OR below mark)
    • Flapper seating
    • Fill valve operating
    • Lift chain length
  3. Identify failure:

    • Component level
    • System level
  4. Repair OR replace:

    • Component for repair
    • Whole toilet for major

Running toilet fix

Most common toilet repair:

Process:

  1. Shut off water (stop valve under tank)
  2. Flush to empty
  3. Disconnect chain from flapper
  4. Remove flapper (often clip OR slip-on)
  5. Install new flapper (universal OR match)
  6. Adjust chain length (1/2" slack)
  7. Reattach
  8. Turn on water; test

Quality flappers:

  • Brass shafts
  • Korky, Fluidmaster brands
  • Standard sizes (most fit)

Fill valve replacement

When:

  • Old / worn
  • Won't shut off
  • Slow refill
  • Noisy

Process:

  1. Shut off water
  2. Flush to empty
  3. Disconnect supply line
  4. Remove old fill valve (large nut under tank)
  5. Install new fill valve (universal usually)
  6. Connect supply line
  7. Adjust water level
  8. Turn on water; test

Wax ring replacement

When:

  • Toilet rocks
  • Water leak at base
  • Sewer smell
  • After moving toilet

Process:

  1. Shut off water
  2. Flush; empty tank
  3. Disconnect supply line
  4. Remove tank-to-bowl bolts (sometimes; keep tank if intact)
  5. Loosen + remove floor bolts
  6. Lift toilet (heavy; help OK)
  7. Remove old wax ring
  8. Inspect floor flange
  9. Install new wax ring (regular OR with horn)
  10. Set toilet down carefully
  11. Tighten floor bolts (don't over-tighten)
  12. Reinstall tank if removed
  13. Reconnect supply line
  14. Turn on water; test
  15. Caulk around base (some prefer NOT to caulk)

Floor flange issues

Common floor flange problems:

Below floor level:

  • Wax ring may not seal
  • Stack 2 wax rings OR use horn extender

Cracked / broken:

  • Replace flange
  • Significant repair if PVC under floor

Loose from floor:

  • Re-anchor
  • Sometimes new flange + anchors

Wrong size:

  • 3" OR 4" usually
  • Match toilet outlet

Toilet types

Standard:

  • Two-piece (tank + bowl)
  • Round OR elongated bowl
  • Most common

One-piece:

  • Tank + bowl integrated
  • Sleeker; cleaning easier
  • More expensive

Dual-flush:

  • Two buttons (light + full flush)
  • Water saving
  • Some special parts

Bidet integrated:

  • Built-in spray
  • Heated seat sometimes
  • Electrical needed (some)

Tankless (commercial):

  • Direct flush
  • High water pressure
  • Public restrooms

Composting:

  • No water
  • Off-grid OR eco
  • Special design

Water-saving toilets

Standard:

  • 1.6 gal per flush (US since 1992)
  • 1.28 gal high-efficiency
  • 1.0 gal ultra-high-efficiency
  • Newer = more water-efficient

Old (pre-1992) toilets:

  • 3.5-5.0 gal per flush
  • High water use
  • Replacement makes sense for water bills

When to replace toilet

Replace:

  • Cracked tank OR bowl
  • Pre-1992 high-water (waste)
  • Customer wants upgrade
  • Multiple major issues

Repair:

  • Standard component failures
  • Quality toilet (worth keeping)

Common toilet mistakes

  • Wrong flapper (sizes vary)
  • Floor bolts over-tightened (cracks porcelain)
  • Wax ring forgotten OR wrong type
  • Skipping floor flange inspection
  • Not testing after repair
  • Customer's clog not investigated

Clog clearing

For toilet clog:

  1. Plunger first:
  • Toilet-specific plunger (flange)
  • Cover hole completely
  • Plunge vigorously
  1. Closet auger (if plunger fails):
  • 3-6 ft auger
  • Through toilet trap
  • Carefully avoid bowl scratch
  • Often clears tough clogs
  1. Remove toilet (last resort):
  • Access from below
  • Clear obstruction
  • Reset
  1. Camera + main line:
  • Clog beyond toilet
  • Check main drain

Customer education

Don't flush:

  • "Flushable" wipes (despite label)
  • Feminine products
  • Diapers
  • Excessive toilet paper
  • Anything not water + waste + paper

Maintenance:

  • Clean periodically
  • Don't use harsh chemicals
  • Address slow flushing promptly
  • Watch for leaks
