End-of-Service Customer Walkthrough Reference

Why this matters

The end-of-service walkthrough is when customer experience consolidates. Done well: customer feels valued, understands work done, trusts the tech. Done poorly: customer remembers confusion + questions. This is the field card.

Why the walkthrough matters

Customer perception:

  • Last impression
  • Validates value paid
  • Demonstrates professionalism
  • Opportunity for relationship

Practical:

  • Confirm work done correctly
  • Customer signs off
  • Payment processed
  • Issues identified before tech leaves

Business:

  • Reduces callback calls
  • Builds long-term relationship
  • Generates referrals
  • Documentation for warranty

Walkthrough sequence

After work completed:

  1. Clean up work area
  2. Pack tools
  3. Walk customer to work area
  4. Demonstrate work done
  5. Demonstrate functionality
  6. Answer questions
  7. Review documentation
  8. Process payment
  9. Schedule follow-up if needed
  10. Thank them

Each step matters.

At the work area

Show customer:

What was wrong:

  • Component if visible
  • Photo if not visible
  • Explain in plain language

What you did:

  • Repair OR replacement
  • Why this approach
  • Brief technical explanation

Final state:

  • Demonstrate operation
  • Customer satisfied with result

Demonstration

For equipment:

  • Operate it together
  • Run through cycle
  • Customer activates if appropriate
  • Verify their understanding

Examples:

  • HVAC: turn on; verify temp change
  • Garage door: opens / closes from each control
  • Appliance: run a cycle
  • Plumbing: water flow at fixture; no leak
  • Electrical: test outlets / switches

Customer witnesses + remembers it working.

Education during walkthrough

Brief, relevant:

  • "Here's what to watch for"
  • "If this happens, here's what to do"
  • "Replace filter every X months"
  • "Annual maintenance recommended"

Don't:

  • Overwhelm
  • Lecture
  • Show off technical knowledge

Documentation provided

  • Itemized
  • Customer signature
  • Their copy + your copy

Customer asks what's on their mind.

  • Customer needs to think about next step

Address:

  • "This is what's done; here's what may come up"
  • "We can address [issue] at next visit"
  • "Watch for [symptoms]; call if they occur"

Customer informed; not surprised later.

When tech is wrong

If you identified issue but didn't fix:

  • Be honest
  • "I diagnosed this; we'd need to come back to fix"
  • Provide estimate
  • Customer decides

Don't pretend issue is resolved when it isn't.

Cleanup verification

Walk customer through cleanup:

  • Work area swept
  • Tools removed
  • Debris in trash
  • Floors clean
  • No fingerprints / marks left

If something missed:

  • Address before leaving

Cleanup gone wrong

If something damaged:

  • Acknowledge immediately
  • Discuss resolution
  • Don't hide
  • Customer respects honesty

When customer has complaint

If customer raises concern:

  • Listen fully
  • Don't defend
  • Address what you can
  • Escalate what you can't
  • Don't leave without resolution path
