Smart Thermostat Installation Reference

Why this reference exists

Smart thermostats (Nest, ecobee, Honeywell T-Series, Sensi) are the most-installed smart home device of the past decade. HVAC service crews swap or install one on 30-50% of service visits. Customer satisfaction is high; rebates from utilities are common (); the install takes 30-60 minutes when wiring is normal. This reference covers the wiring + commissioning that goes wrong.

The C-wire problem

Smart thermostats need continuous power. They get it from the HVAC system via a "common" wire (C-wire) running from the equipment control board to the thermostat.

About 25-40% of existing thermostat installations LACK a C-wire because old mechanical thermostats didn't need one. Symptoms when missing:

  • Thermostat reboots every few hours
  • Wi-Fi drops repeatedly
  • Display dims unexpectedly
  • HVAC short-cycles (smart thermostat steals power from fan/heat wire)

This is the #1 install issue. Verify before quoting.

Standard HVAC wiring labels

At thermostat (5-wire is common):

  • R (Red): 24V hot from transformer
  • C (Blue/Black): 24V common (return to transformer) - REQUIRED for smart thermostat
  • W (White): heat call
  • Y (Yellow): cool call (compressor)
  • G (Green): fan call (blower)

Heat pump variants add:

  • O/B (Orange/Brown): reversing valve (heat pump)
  • W2 / E (Black): auxiliary or emergency heat
  • Y2: stage 2 cool

Two-stage gas furnace:

  • W2: stage 2 heat

Most smart thermostats handle up to 2 stages cool + 2 stages heat + heat pump natively. Premium models (ecobee SmartThermostat Premium, Nest Learning) handle 3+ stages.

Tools

  • Smart thermostat
  • Multimeter / voltage tester
  • Screwdriver (Phillips + slotted, small)
  • Drill + bits (for new wall mounting holes)
  • Wire labels (electrical tape + marker)
  • Wire strippers
  • Phone with app (for commissioning)
  • Photo capability
  • Customer's home Wi-Fi password ahead of time

Step 1: Pre-install

  1. Photograph existing thermostat wiring - IN PLACE before disconnecting
  2. Note wire color + label letter at each terminal
  3. Verify Wi-Fi signal strength at thermostat location (most smart thermostats need 2.4 GHz; some support 5 GHz; ecobee + Nest 2nd gen ok with most networks)
  4. Verify customer has Wi-Fi password + account ready
  5. Identify HVAC equipment type (gas furnace, heat pump, dual fuel, hydronic)

Step 2: Verify C-wire

If C-wire absent:

Option A: Add C-wire (best, takes 30 min)

  1. Find the air handler or furnace
  2. Identify a spare conductor in the thermostat cable (most multi-conductor cables have at least one unused wire)
  3. Connect spare at equipment-end to "C" terminal on control board
  4. Connect same wire at thermostat-end to "C" of new thermostat
  5. Mark wire ends "C" for future identification

Option B: Power stealing kit (when no spare wire)

  • ecobee includes a Power Extender Kit (PEK) - installs at the air handler
  • Nest includes a "Common Wire Accessory"
  • Wires from R + W + Y go to PEK; PEK provides simulated C to thermostat
  • Most reliable when added at install; less reliable than a real C-wire

Option C: Plug-in adapter

  • 24V plug-in module providing simulated C
  • Last resort; visible cord + outlet near thermostat
  • Customer often unhappy with aesthetics

Step 3: Remove old thermostat

  1. Turn off HVAC at breaker (safer than at thermostat - old mechanical thermostats don't reliably cut power)
  2. Remove old thermostat cover + base
  3. Photograph the wiring AGAIN with labels visible
  4. Disconnect wires; cap them around a pencil so they don't fall into the wall
  5. Remove old base plate

Step 4: Mount new thermostat

  1. New base plate over old hole (most thermostat bases cover the old footprint)
  2. Pull wires through new plate
  3. If smaller footprint: trim plate may be needed; or paint touch-up
  4. Level + screw mounted

Step 5: Wire new thermostat

  1. Strip wires 1/4" if not already
  2. Insert each wire into matching terminal (R to R, C to C, etc.)
  3. Push-button or screw terminal - gentle tug to confirm seated
  4. Snap thermostat to base
  5. Restore HVAC power

Step 6: Commission

  1. Thermostat boots; follow setup wizard
  2. Connect to Wi-Fi (customer's password)
  3. Connect to customer account (Nest/Google, ecobee, Amazon, Apple Home, etc.)
  4. Configure heating + cooling type:
  • Conventional furnace (gas, oil, electric resistance)
  • Heat pump (with O or B reversing valve)
  • Dual fuel (heat pump + gas furnace)
  • Stage count
  1. Verify operation:
  • Call for heat → furnace fires
  • Call for cool → compressor + fan run
  • Fan-only mode → blower runs
  1. Set schedule with customer (wake, away, home, sleep)
  2. Configure smart features (eco temperatures, scheduling, geofencing)

Step 7: Customer briefing

  1. Walk through the touchscreen interface
  2. Show the app on customer's phone
  3. Demonstrate temperature change, scheduling, away mode
  4. Set comfort preferences
  5. Show how to use voice (Alexa, Google Home, Siri) if applicable
  6. Provide manual + warranty card
  7. Note serial number for warranty + tracking

Heat pump configuration

Heat pumps require correct setup of the reversing valve:

  • O reversing valve: thermostat energizes O on a cool call (Carrier, Lennox, Trane, etc.)
  • B reversing valve: thermostat energizes B on a heat call (Rheem, some older systems)

Wrong configuration: customer gets heat when they call cool. Easy diagnostic + fix in app.

Aux heat (electric resistance backup): configure to engage at outdoor temperature below specified setpoint (typically 25-35°F balance point) OR after a temperature differential (e.g., 3°F below setpoint).

Common pitfalls

  • No C-wire diagnosed only after install: customer reboots all night
  • Wrong reversing valve setting: heat pump cools when it should heat
  • Wi-Fi password wrong: customer can't use app
  • Lost wires inside wall: cap to a pencil before installing
  • Multiple thermostats from same equipment: control loop confusion
  • Old thermostat had mercury switch: hazardous waste; dispose properly (NOT trash)
  • Aux heat lockout mis-set: customer complains of high electric bill in cold weather (resistance running too often)

Utility rebates

Many utilities rebate smart thermostats:

  • Typical:
  • Sometimes more (commercial / multi-family)
  • Customer registers via utility portal with serial number + install date

Provide customer the rebate paperwork at install. Drives 5-star reviews.

Demand response programs

Some utilities offer "ConnectedThermostat" demand response participation:

  • enrollment
  • Utility pre-cools or pre-heats home during peak; customer can opt-out instances
  • Easy customer-side enrollment via thermostat app

Mention at install; some customers opt in immediately.
