Several Faults on One System: Which to Correct First Triage Decision Tree

Why this matters

A neglected residential water treatment train often presents with three or four faults at once: a fouled sediment prefilter, a softener overdue for resin replacement, an RO membrane past its rated volume, a UV lamp lit past its useful dose, and a pressure tank that has lost its air charge. Repairing in the wrong order wastes parts, hides downstream symptoms, and risks ruining a freshly installed component on the next regen or service cycle. This tree gives a deterministic order: address upstream and protective components before downstream and consumable components, address mechanical and electrical safety before water quality, and confirm one fault is cleared before triggering the next.

Symptom presentation

A multi-fault visit usually begins with the customer reporting a single complaint (hard water at the kitchen, RO drip slow, water smells, pressure low) and the technician finding additional issues on inspection. Common discovery patterns: customer reports off taste, tech finds expired UV lamp, fouled prefilter, exhausted carbon, and a softener that has not regen'd in weeks; or customer reports low pressure, tech finds waterlogged pressure tank, plugged sediment filter, and a softener bed compacted by held-over backwash debris.

Quick checks to inventory faults

Walk the system in flow order, source to point of use, and list every observed condition on a single sheet before deciding what to repair first:

  • Well pump or pressure tank: air charge, short-cycling, breaker history.
  • Sediment prefilter: pressure drop, visible loading.
  • Iron or sulfide removal stage: media condition, regen cycle if applicable.
  • Carbon stage: bed condition, contact time at observed flow.
  • Softener: bypass position, salt level, brine tank, regen recency, resin sample.
  • UV: lamp hours, sleeve clarity, alarm state.
  • RO: membrane age, total dissolved solids reduction percent, storage tank pressure.
  • Distribution: faucet aerators, water heater condition, ice maker line.

Test cold treated water and raw water for hardness, iron, free and total chlorine, pH, and TDS at minimum. Photograph each fault condition before disturbing anything.

Triage decision tree

Stage 1: safety and protective hardware first Anything that protects a person or downstream equipment gets corrected before any water-quality work begins.

  • Electrical faults (well pump breaker tripping, UV control box scorched, exposed wiring): isolate and repair before any water flow work. A breaker that trips during the visit cancels the visit until cleared.
  • Backflow protection: any cross-connection or missing air gap on the softener drain or RO drain is corrected before regen cycling.
  • Pressure tank waterlogged or short-cycling: corrected before any downstream work because every component you service will be subject to repeated inrush flow events and the pump may trip mid-service.
  • UV bypassed and disinfection required: customers using a microbiologically suspect well source should be advised to boil or use bottled water until UV is restored. Document the advisory.

Stage 2: upstream protective filtration Anything that protects what is downstream is replaced or cleaned before the downstream component is serviced.

  • Sediment prefilter cartridges: replace first. Servicing a softener or RO with a loaded sediment filter pushes accumulated fines downstream the moment flow restarts.
  • Iron or sulfide removal upstream of the softener: confirm operational. A softener that takes the brunt of unremoved iron will refoul the bed regardless of resin condition.
  • Carbon stage upstream of softener or RO: confirm not exhausted. Chlorine passing a depleted carbon bed destroys softener resin and RO membrane on contact.

Stage 3: the component matching the customer complaint With protective stages confirmed, address the original complaint:

  • Hard water complaint: softener service (regen verification, resin assessment, salt and brine confirmation).
  • Off-taste complaint: carbon, UV, and RO assessment as appropriate.
  • Low-pressure complaint: confirm prefilter and pressure tank corrections from Stage 1 cleared the symptom; if not, inspect softener for bed compaction and RO storage tank pressure.

Stage 4: consumables nearing end of service With the main complaint resolved, address consumables that will fail before the next scheduled visit:

  • UV lamp at 80 percent or more of rated hours: replace.
  • RO membrane past rated volume or with TDS reduction percent below 90: replace.
  • Carbon block past rated volume or with breakthrough detected at the test tap: replace.
  • Resin bed showing borderline degradation per the resin-condition decision tree: extend or replace per that tree's thresholds.

Stage 5: cosmetic and convenience Last priority: replace gauges, relabel valves, update logbook, clean exteriors.

Confirming diagnosis between stages

After each stage, run a flow test and re-measure. A fault corrected at Stage 1 sometimes resolves a complaint logged at Stage 3. Examples:

  • Pressure tank recharge fixes low-pressure complaint; softener bed no longer needs the workload-loss inspection planned for Stage 3.
  • Sediment prefilter replacement clears the off-taste complaint when accumulated biofilm in the loaded filter was the source.
  • Carbon stage replacement resolves the resin-bed early-degradation pattern observed previously.

Document what each stage cleared before moving to the next, so the customer sees the cause-and-effect chain rather than a flat bill of work.

Decision thresholds

A fault is corrected before moving to the next stage when:

  • Electrical: breaker holds closed under normal load, no warm spots at the panel or control box, no abnormal noise from contactors.
  • Backflow: visible air gap or approved backflow preventer in place per local plumbing code.
  • Pressure tank: air charge set to roughly 2 psi below pump cut-in, no short-cycling at any tested draw rate.
  • Prefilter: head loss across the housing under typical flow back to baseline.
  • Softener: regen completes, treated water reads under 1 grain per gallon, salt usage consistent with hardness setting.
  • UV: lamp lit, alarm clear, sleeve visibly clean through the inspection port.
  • RO: membrane producing rated permeate flow, TDS reduction above 90 percent at typical operating pressure.

Remediation
