The Diagnostic Question That Narrows It Fastest
Why this matters
A tech who asks the right first question cuts a diagnosis from an hour to ten minutes. A tech who starts opening panels without asking anything burns billable time re-discovering facts the customer already knew. The skill is not intuition, it is a habit: one well-aimed question splits the universe of possible causes roughly in half, and the next one splits what is left. Do this three or four times and you have narrowed a hundred possible faults down to two or three before you touch a tool.
The question is a filter, not small talk
Every system, HVAC, plumbing, electrical, appliance, or pool, fails in a finite number of ways, and most of those ways leave a distinct fingerprint in how the fault behaves. A good diagnostic question is one whose answer eliminates a whole branch of the fault tree at once, not one that just gathers color.
"When did you first notice it" gathers color. "Does it happen every time, or only sometimes" is a filter: it splits every intermittent-vs-constant fault family in two, and those two families get diagnosed completely differently.
The single fastest-narrowing question
Across every trade, the one question that eliminates the most possibilities fastest is: "What changed right before this started?"
Faults are rarely spontaneous. Equipment that worked yesterday and does not work today usually has a trigger: a storm, a renovation, a new appliance plugged into the same circuit, a water heater replaced upstream, someone "fixing" something themselves, a filter change, a software or thermostat update, a new tenant's habits. If the customer says "nothing changed," do not accept that at face value; it usually means "nothing I thought was related." Ask about it from a different angle before moving on.
The second-tier questions, and what each one splits
Once "what changed" is answered (or ruled out), these four questions each cut the remaining field roughly in half:
- "Constant, or does it come and go?" Splits the tree into a hard-fault branch (broken part, open circuit, blocked line) versus a conditional-fault branch (loose connection, thermal expansion, load-dependent, load-timing).
- "All the time, or only under certain conditions (hot, cold, high demand, first thing in the morning)?" Splits environmental/load-triggered causes from causes that are present regardless of conditions.
- "Is this the first time, or has it happened before?" A repeat complaint on the same equipment points you at whatever was done last time; either the earlier fix did not address the root cause, or a new problem happens to share a symptom with the old one. - "Did it fail suddenly, or has it been getting worse?" Sudden failure points at a discrete event (something broke, tripped, or was disconnected). Gradual decline points at wear, buildup, or a slow leak.
Why order matters
Ask "what changed" before you ask anything else. If you lead with a technical question ("is the breaker tripped," "is the pressure low"), you commit the customer to answering as a technician, guessing at cause instead of reporting what they actually observed, and you lose the raw data. Get the observation first, in their words, then translate it into diagnostic branches yourself.
Reading a non-answer
Sometimes the fastest-narrowing information is the customer's uncertainty itself. "I don't know, I just noticed it this morning" tells you the fault is either new-onset (developed overnight, which narrows to things that operate on a daily cycle: overnight temperature drop, off-peak scheduling, a nightly automation) or has been present longer than they realized (which shifts your attention to how observable the symptom actually is; a slow leak or a partial fault can run for weeks before someone notices).
Turning the answer into your first test
The point of the question is to choose your first diagnostic step, not to collect trivia for the invoice. Once you know the trigger, the pattern, and the timeline, pick the single test that would confirm or rule out the most likely branch, and do that one first.
