The Manufacturer Wants Proof Before Approving the Part: Decision Tree

Why this matters

A warranty part you know is bad does not become free until the maker agrees it is bad. Under warranty the manufacturer pays only if you prove the failure their way: the right readings, the right photos, the failed part returned. Skip a step and the claim gets denied after you already installed the replacement, so the covered part lands on your invoice instead of theirs. This tree keeps you from eating a warranty part because your evidence did not hold up.

Start here: make the hazard safe before the paperwork

If the failure left a live hazard - a scorched breaker or melted lug, a leaking gas valve, refrigerant in a closed space, a pool bonding fault, water at an energized part - make it safe first. De-energize and verify dead, close the gas, relieve pressure, ventilate the space. A claim is never a reason to leave a hazard live while you stage a photo. Document from the safe state.

Do you actually know the part failed, or are you guessing

The claim starts here, because the reviewer starts here.

  • If you have a measured, failed reading - an open compressor winding, a capacitor far off its rated microfarads, a heating element that reads open, a pump motor pulling locked-rotor amps, a board with no output on a proven-good input - you have a claim. Capture the reading before you pull the part.
  • If the part only seems bad - it is quiet, it is warm, it "should" be the cause - stop. Prove it with a test the reviewer can repeat, or you are guessing. A denied claim almost always traces back to a swap done on suspicion, not a measurement.

Does the failure mode match a covered cause

Manufacturers deny parts that failed from something the warranty excludes. Before you file, name the cause.

  • Covered: a genuine internal defect - an open winding, a shorted board trace, a cracked casting with no impact mark.
  • Commonly excluded, and worth flagging honestly: damage from a power surge, wrong voltage, water or flood, a clogged filter or blocked airflow that cooked the part, missed maintenance, or a prior wrong repair. If the real cause is one of these, the part claim will likely fail even with perfect readings, so tell the customer that up front rather than after the denial.

Follow the maker's required flow even when you know the answer

Most warranty programs require a specific sequence: a fault code read a certain way, a phone or portal case opened before the part ships, sometimes a guided test they walk you through. You may already know the compressor is grounded, but if the flow says "measure and report winding resistance to each terminal and to ground," do it and record it. The reviewer is matching your file to their script; a missing step is a denial regardless of whether you were right.

Capture the evidence in the order that survives review

Work from the whole unit inward so the story is complete:

  1. Nameplate, serial, and date code legible in one shot - this proves coverage and age.
  2. The installed context - the part in place, wired or plumbed as found.
  3. The reading on the meter with the part identifiable in frame, or the value photographed next to the part.
  4. The failure itself - the burn, the split, the leak point, the corrosion.
  5. The old part retained. Many programs require the failed part back; a scrapped part is an auto-denial. Tag it with the claim or job number.

Decide and proceed

  • Evidence complete, cause covered: file, get the authorization number, then install. Where the customer cannot wait, see the companion tree on a required process versus an urgent job.
  • Evidence complete, cause excluded: it is a billable repair, not a claim. Tell the customer why and quote it as such.
  • Evidence thin: get the missing reading or photo now, on this visit. You rarely get a second chance once the part is out and the unit is running.

The judgment to bank: the manufacturer is not paying for the part that failed, they are paying for the part you can prove failed, from a covered cause, on their forms. Prove it before you pull it.
