The Video They Watched Doesn't Match Their System (Decision Tree)
Why this matters
The customer followed a repair video step by step and got stuck, or got it wrong, because their system is not the one in the clip. The video showed one configuration; theirs is built differently. They do not know that, so to them the video "did not work" and now they are confused or frustrated. Your job is to find where the video's assumptions and their actual equipment part ways, because that gap is the whole reason their self-diagnosis went sideways, and naming it clearly is what earns their trust back.
Start here: the video is almost never wrong, it is just for a different system
Set the frame before you diagnose: a tutorial teaches one common setup. Your customer's system may use a different metering device, a different control scheme, a different drive, a different era of design, or be installed under different code. The steps that were correct in the clip meet a system they were never meant for and miss. This is not the customer being careless. It is a loose match they had no way to catch.
Step 1: find where the video's assumptions diverge, and flag any hazard first
Walk the video's steps against the real unit and locate the first point they stop matching. Common divergence lines across trades:
- Metering or control type. A cooling system with one type of metering device behaves differently from another; a single-stage control is not a two-stage control.
- Fuel or energy source. A gas appliance and its electric equivalent share a shape and share almost no procedure.
- Drive or circulation type. A belt drive versus a direct drive; a single-speed pump versus a variable-speed; a gravity drain versus a pump.
- Filtration or media type. Different filter media (cartridge, sand, diatomaceous earth) need opposite service steps.
- Panel, breaker, or wiring scheme. Different panel types and grounding schemes make a "just move this wire" step wrong or dangerous.
- Age and code era. An older system was built and permitted under rules the current-day video ignores.
If the divergence means a video step would be unsafe on this system, stop there and say so before going further: a video that says to bypass a component, move a wire, or bump a rating may be harmless on its unit and a hazard on this one. Lead with the safety fact ("that step defeats a safety on your setup, so we don't do that here"), then continue diagnosing.
Step 2: classify the video's fix against this system
Once you have found the divergence, sort what the video's fix will actually do on the real unit:
- Inapplicable. The fix is fine, it just does nothing here because the part or path it targets does not exist on this configuration. Harmless dead end.
- Harmful. The fix would damage this system or create a hazard because the assumption behind it is false here (adjusting a setting that means something different, forcing a component this design does not have).
- Coincidentally right, wrong reason. The fix happens to touch the real fault even though the video's logic does not apply. Verify before you trust it.
Step 3: decide how to proceed and what to tell them
- Inapplicable: diagnose from scratch on the actual system, and show them the one difference that made the video not fit. "Yours uses this style, the video was for that style, here is how they differ."
- Harmful: stop them from repeating it, explain the specific harm in cause and effect, and do the correct repair for their configuration.
- Coincidentally right: confirm with a reading, then credit the outcome even though the reasoning was off. "That got you close, and here is what is actually happening."
In every branch, use the video as a teaching aid, not a target. "Good video, wrong system for it" keeps their homework respectable while moving them onto the real fix.
